  • End-of-year checklist: Make sure you’re ready for 2025
    Updated On: Dec 05, 2024

Created by Jackie Rigotti on Nov 18, 2024 11:50 AM.

The end of 2024 is quickly approaching. Before we close the books on the year, we’d like to remind you of several important year-end items requiring your attention as well as give you an update on some information for 2025.

    W-2s

All 2024 Form W-2s will be processed by Jan. 31, 2025. Learn more about viewing your W-2 forms using your AA ID and password.

Don’t want your W-2 mailed to you? While you can access your W-2 online after it’s available, by default, ADP (our tax form processor) will also mail your W-2 to your home address on file. You can opt out of the mailed version anytime by logging in to ADP, clicking your profile icon > Settings > Go paperless. If you opt out after Dec. 31, you may still receive a paper W-2 in the mail for that calendar year.

    1095-C

If you are enrolled in American’s medical benefits, you will receive a 1095-C form, per the Affordable Care Act. This form provides verification that you and your dependents had health coverage in 2024. You will not be required to file this with your tax returns, but you will need to retain the form in your records.

For team members enrolled in the Core, Standard, Plus, High Cost Coverage, DFW ConnectedCare, PPO 80 or PPO 90 medical option in 2024, all 1095-C forms will be mailed no later than Jan. 31, 2025. If you’ve elected electronic delivery, you will receive an email communication between Jan. 23 and Jan. 31, 2025, notifying you when your form can be accessed through the Benefits Service Center. The emails will come from the paperlessemployee.com domain and are not spam or phishing emails.

For team members enrolled in HMO options, your HMO administrator will mail your 1095-C form. For questions, please contact your HMO administrator.

If you would like to receive your 1095-C form electronically, you can update your settings in the Benefits Service Center by Dec. 31, 2024.

    • In the Quick Actions column, select Medical Tax Form 1095.
    • Select the View/Print Your 1095 tile.
    • You will then be routed to the American Airlines CIC Plus site. Here, in the Account Settings drop-down menu, select Manage Contact & Electronic Statement Options.
    • Complete the form to opt in to electronic statement notifications texted to your mobile device or emailed to your preferred email address.

    Home address on file

Be sure to review your home address on file, as this is the address we’ll show on your 2024 Form W-2. This is your home address reflected on Jetnet. Even if you choose to go paperless and only access your Form W-2 online, you should still verify your address for tax filing purposes. Address changes can be submitted via the Update My Information page.

Speaking of addresses, there could be a tax impact if you have a P.O. Box listed as your home address. Payroll uses your physical home address and work address to determine which state and local taxes apply to you. That means that when we don’t have your accurate physical address, the system can’t correctly calculate your taxes. If you currently have a P.O. Box listed as your home address, your withholdings may not be accurate. If you have an international address listed as your home address, you’ll only be able to access your Form W-2 online as ADP does not mail tax forms to international addresses.

    Federal and state withholding

Review your Form W-4 withholding elections regularly to determine if they need to be adjusted. You can access both federal and state withholding forms within Pay Portal or from the Tax Forms box on the Money & Attendance space.

    Claiming exempt

If you claim exemption, please note federal exemptions expire Feb. 15 of the following year. You will be able to enter 2025 exemptions after Jan. 1, 2025. Additional communications will be sent to those who have claimed an exemption. Please note, new exemptions may take up to two pay periods to take effect.

    2025 FICA

FICA tax is imposed on both team members and employers to fund Social Security and Medicare. Here’s the breakdown of the deductions:

    • OASDI — 6.2% for social security tax (old-age, survivors and disability insurance).
    • FICA-HI — 1.45% for Medicare tax (hospital insurance).
    • Wage and Tax limits — For social security tax, the maximum amount of 2025 wages subject to OASDI is increased to $176,100 at a rate of 6.2% for a maximum contribution of $10,918.20.
    • The additional Medicare tax of 0.9% imposed on employee wages greater than $200,000 will continue to be in effect for 2025. The tax rate for wages above $200,000 will be 2.35%.

    2025 mileage rate

The IRS standard business mileage rate for 2024 transportation expenses is 67 cents per mile. We’ll update the 2025 rate here when it is published by the IRS.

    2025 spending accounts

Your spending account information is available through NetBenefits.

Health savings account (HSA): Funds in an HSA don’t expire and are yours to use at any time, even if you leave American.

Health care flexible spending account (HCFSA) and limited purpose flexible spending account (LPFSA):

Keep in mind that up to $640 of your unused 2024 HCFSA or LPFSA funds will carry over into 2025, and you’ll have until March 31, 2025, to submit 2024 expenses for reimbursement. Your 2025 contribution election will be fully available in your account with Fidelity on Jan. 1, 2025.

Dependent care flexible spending account (DCFSA): You’ll have until March 15, 2025, to incur eligible expenses against your 2024 funds, and until March 31, 2025, to submit 2024 claims for reimbursement. You will lose any remaining unused 2024 DCFSA funds after March 31, 2025.

Health reimbursement arrangement (HRA): If you are enrolled in the Plus medical option for 2024, don’t forget to schedule a preventive exam before the end of the year to earn $500 in credits for your HRA to use now and $1,000 credits for your retiree health reimbursement arrangement to use in retirement.

    2025 commuter accounts

Once you enroll, your election will carry over from month to month, until you unenroll from the commuter benefit on NetBenefits. If you take no action at year end, your pretax paycheck deductions will continue for the following year. At the end of the year, funds that are credited to your commuter account will automatically carry over to the new year.

The deadline to make an election is the 12th of each month for the following month.
